Terms & Conditions
These Terms & Conditions govern the planning, booking, and operation of tours and travel services provided by Vacation North East across Northeast India, Sikkim, Darjeeling, Bhutan, and related destinations. By enquiring, paying an advance, or travelling with us, you confirm that you have read, understood, and accepted these terms on behalf of yourself and all travellers in your group.
Last updated: 24 June 2026.
Bookings and payment
- A quotation is confirmed only after you accept the itinerary and we receive the required advance and verify availability.
- We generally require an advance of 30% of the total package cost to confirm a booking. For peak season, North Sikkim, Bhutan, flight-inclusive packages, and special properties, an advance of up to 50% may be required.
- The remaining balance must be paid before the start of the tour, as specified on your invoice, unless agreed otherwise in writing.
- Bookings made within 15 days of the travel date usually require full payment at the time of confirmation.
- Prices are quoted in Indian Rupees and are valid only for the travel dates and group size mentioned in the quotation. Payments by card or certain gateways may attract an additional processing charge, which will be shown before you pay.
Permits and identification
- Many Northeast destinations require permits. We assist with Inner Line Permits (ILP) and Protected Area Permits (PAP) where applicable, but issuance is at the sole discretion of government authorities.
- Travellers must carry valid original photo identification. Aadhaar, Voter ID, Passport, and Driving Licence are commonly accepted for Indian nationals; a PAN card is generally not accepted as a permit document.
- Foreign nationals must carry a valid passport and visa and may face additional permit conditions and restricted-area rules.
- You must provide accurate documents and photographs in advance. We are not responsible for permits denied or delayed due to incorrect, incomplete, or late information.
Traveller responsibilities
- You are responsible for being medically and physically fit for the chosen itinerary, including high-altitude regions such as Tawang, Nathula, and North Sikkim.
- You must follow local laws, customs, environmental rules, and the reasonable instructions of guides, drivers, and authorities.
- You are responsible for the safety of your belongings, documents, and valuables throughout the trip.
- Any traveller whose behaviour endangers others or disrupts the tour may be required to leave the tour at their own cost, without refund.
Itinerary, accommodation, and transport
- Itineraries are indicative and may be adjusted due to weather, road conditions, permit timelines, political situations, landslides, or other operational reasons, with the aim of keeping the experience as close as possible to the original plan.
- Hotels and homestays are confirmed in the stated category. If a named property becomes unavailable, we will provide a similar alternative of an equivalent standard.
- Hotel check-in and check-out times follow each property’s policy. Vehicles are normally provided on a point-to-point basis as per the itinerary and not on a full-day disposal basis unless specified. In hill regions, air-conditioning may not operate.
Pricing and inclusions
- Your package includes only the services explicitly listed under “Inclusions”. Anything not listed — such as airfare, personal expenses, tips, entry fees, adventure activities, and meals not mentioned — is excluded and payable by you.
- Prices may change before confirmation due to changes in taxes, fuel costs, permit fees, or government levies. Once your booking is confirmed and the advance is paid, the price is protected except for increases imposed by government regulation.
Liability and insurance
- Vacation North East acts as an operator and coordinator between you and independent service providers such as hotels, transporters, airlines, and activity operators. We are not liable for loss, injury, illness, death, delay, or damage caused by these third parties or by circumstances beyond our reasonable control.
- We do not provide travel or medical insurance. We strongly recommend that every traveller arranges comprehensive travel insurance covering medical emergencies, evacuation, trip cancellation, and loss of baggage.
Force majeure
We are not responsible for failure to perform any part of our services due to events beyond our control, including natural calamities, landslides, floods, earthquakes, extreme weather, strikes, bandhs, roadblocks, political unrest, pandemics, or government restrictions. In such cases, costs of alternative arrangements are borne by the traveller.
Governing law and jurisdiction
These terms are governed by the laws of India. Any dispute arising from your booking or travel with us is subject to the exclusive jurisdiction of the courts of Siliguri, West Bengal.
