    Privacy Policy

    Vacation North East (“we”, “us”, “our”) respects your privacy and is committed to protecting the personal data you share with us when you plan and book a Northeast India, Sikkim, Darjeeling, or Bhutan trip through our website, phone, email, or WhatsApp. This policy explains what we collect, why we collect it, and the choices and rights you have, including under India’s Digital Personal Data Protection Act, 2023 (“DPDP Act”).

    Information we collect

    We only collect information that helps us respond to your enquiry, arrange your travel, and meet legal and permit requirements. This typically includes:

    • Contact details such as your full name, email address, phone or WhatsApp number, and country/state of residence.
    • Trip details such as your preferred destinations, travel dates, number and age of travellers, room preferences, and budget.
    • Identity and permit documents required by authorities for restricted areas — for example a Voter ID, Passport, Driving Licence, Aadhaar, or, for foreign nationals, passport and visa details and a recent photograph.
    • Payment-related information such as the amount paid and transaction reference. Card and bank details are handled by our payment partners; we do not store your full card number on our servers.
    • How you found us: when you send an enquiry we record the page you first landed on, the website that referred you, and any campaign or ad-click identifiers in the link you followed (for example UTM tags or a Google/Meta click ID), so we know which of our ads and channels are working.
    • Technical and usage data such as your IP address, browser type, device, and pages visited — collected through analytics and advertising cookies only if you accept them (see below).

    How we use your information

    We use the information we collect to:

    • Respond to your enquiries and prepare quotes and customised itineraries.
    • Confirm and operate your booking, including hotels, transport, guides, activities, and permits.
    • Apply for Inner Line Permits (ILP), Protected Area Permits (PAP), and other approvals required for destinations such as Arunachal Pradesh, Nagaland, Mizoram, Manipur, and parts of Sikkim.
    • Send you an enquiry confirmation, booking confirmations, vouchers, travel updates, and important pre-departure information.
    • Provide customer support before, during, and after your trip.
    • Measure and improve our website and advertising, and, where you have agreed, share occasional offers or travel ideas.
    • Comply with applicable laws, tax obligations, and lawful requests from authorities.

    Cookies, analytics and advertising

    Our website uses a small amount of essential browser storage that it needs to work — for example to remember your light/dark theme, your cookie choice, and, for our staff only, the secure admin login session.

    With your consent, we also use analytics and advertising cookies: Google Analytics (to understand how visitors use the site), Google Ads conversion tracking, and the Meta (Facebook/Instagram) Pixel (to measure whether our ads lead to enquiries and to show relevant ads). These tools are provided by Google and Meta, who process the data under their own privacy policies.

    When you first visit, a banner asks whether you accept these cookies. Until you click “Accept”, they stay switched off (Google’s tags run in a restricted, cookie-less mode). You can change your choice at any time using “Cookie settings” at the bottom of every page, or by clearing cookies in your browser.

    How we share your information

    We do not sell your personal information. We share it only as far as needed to deliver your trip, with:

    • Hotels, resorts, homestays, and accommodation providers.
    • Transport operators, drivers, airlines, and railway booking partners.
    • Local tour operators, guides, and activity providers.
    • Government tourism departments and permit authorities for restricted-area approvals.
    • Payment gateways and banks to process payments, and professional advisors or authorities where required by law.
    • Service providers who help us run the website and communicate with you (website hosting, email delivery, and — only if you accept cookies — Google and Meta for analytics and advertising measurement).

    These partners receive only the information necessary to provide their part of the service and are expected to protect it.

    Data security and retention

    We use reasonable technical and organisational measures — including secure hosting, encrypted connections (HTTPS), and restricted, role-based access — to protect your information against loss, misuse, and unauthorised access. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security. We keep your information only for as long as needed for the purpose it was collected and to meet legal, accounting, and tax requirements, after which it is deleted or anonymised.

    Your rights under the DPDP Act

    You have the right to:

    • Get a summary of the personal data we hold about you and how we use it.
    • Ask us to correct, complete, or update your personal data.
    • Ask us to erase your personal data where we no longer need it or are not required by law to keep it.
    • Withdraw your consent at any time — for example to marketing messages or to analytics and advertising cookies. Withdrawing consent does not affect processing already carried out, and we may still keep data we are legally required to retain.
    • Nominate another person to exercise these rights on your behalf in case of death or incapacity.
    • Have your complaints addressed by our Grievance Officer (below), and, if you are not satisfied with our response, to complain to the Data Protection Board of India.

    To exercise any of these rights, contact our Grievance Officer. We will respond within a reasonable time and in any case within the period required by law.

    Children’s privacy

    Our services are intended for adults. We do not knowingly collect personal data directly from children. Details of minor travellers are provided by the parent or guardian making the booking, solely for trip arrangements and permits, with that parent’s or guardian’s consent.

    Changes to this policy

    We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The latest version will always be available on this page with a revised “last updated” date. Please review it periodically.
