    Cancellation & Refund Policy

We understand that plans can change. This policy explains how to cancel a confirmed booking with Vacation North East, the charges that apply, and how refunds are processed. It applies to all tours and travel services across Northeast India, Sikkim, Darjeeling, and Bhutan, unless your invoice states otherwise.

    Last updated: 24 June 2026.

    How to cancel

All cancellation requests must be sent in writing to support@vacationnortheast.com. Cancellation charges are calculated from the date we receive your written request, not the date you decide to cancel. Requests made by phone or WhatsApp must be confirmed by email to be valid.

    Cancellation charges

Unless your invoice specifies different terms, cancellation charges are a percentage of the total package cost based on how many days before the start date we receive your written request:

    • 30 days or more before departure: 10% of the total package cost (broadly equivalent to the advance).
    • 21 to 29 days before departure: 25% of the total package cost.
    • 15 to 20 days before departure: 50% of the total package cost.
    • 7 to 14 days before departure: 75% of the total package cost.
    • Less than 7 days before departure, or no-show: 100% of the total package cost (no refund).

    Non-refundable components

Certain costs are committed to suppliers as soon as they are booked and cannot be refunded regardless of the notice period, including:

    • Permit fees and processing charges (ILP / PAP and similar).
    • Airfare, train tickets, and other transport booked on non-refundable fares.
    • Advance payments for peak-season stays, North Sikkim and high-demand properties, and special events or festival bookings.
    • Any service already used or partially used during the trip.

    Peak season and special bookings

During peak seasons, long weekends, and for destinations such as North Sikkim and Bhutan, hotels and transporters apply stricter, often non-refundable terms. In these cases the supplier’s cancellation terms take precedence and may result in higher charges than the standard slabs above. We will always inform you of any such terms before you confirm.

    Refund process and timeline

    • Approved refunds are made to the original payment method or by bank transfer to the account holder who made the booking.
    • Refunds are normally processed within 10 to 15 working days of confirming the refund amount, subject to the timelines of banks and payment gateways.
    • Any bank, gateway, or transfer charges, and non-refundable supplier costs, are deducted from the refund.
    • No refund is given for unused services such as meals, sightseeing, accommodation, or transport once the tour has begun.

    Postponement and amendments

If you wish to postpone rather than cancel, we will try to move your booking subject to availability and supplier terms. A postponement or amendment fee may apply, along with any difference in cost for the new dates or services. Major changes to a confirmed booking may be treated as a cancellation and rebooking.

Cancellation by us or due to force majeure

In the rare event that we have to cancel a tour due to reasons within our control, we will offer you alternative dates or a refund of amounts paid, after deducting any non-refundable supplier costs. Where a trip is disrupted by force majeure — such as natural calamities, landslides, strikes, political unrest, pandemics, or government restrictions — refunds are limited to what we can recover from suppliers, and additional costs of alternative arrangements are borne by the traveller. We strongly recommend travel insurance to cover such situations.
